Accidentally deleting important files is something almost everyone experiences at some point. Whether it’s office documents, personal photos, or an important project, losing data can be frustrating and stressful. Luckily, Microsoft provides a free built-in solution that can help you recover lost files if you act quickly and use it correctly.

What Is Windows File Recovery?

Windows File Recovery is a free command-line recovery tool developed by Microsoft. Unlike the Recycle Bin, which only stores recently deleted files, this tool is designed to retrieve files that were permanently deleted or lost due to formatting or storage issues.

It supports many storage devices, including:

  • Internal hard drives

  • Solid-state drives (SSDs)

  • USB flash drives

  • Memory cards

It also works with common file systems such as NTFS, FAT, exFAT, and ReFS, making it suitable for most Windows users.

How Windows File Recovery Restores Files

When you delete a file, Windows does not erase it immediately. Instead, it marks the storage space as available for new data. Until that space is overwritten, your file can still be recovered.

Using this free recovery software, you can scan the drive to locate deleted data and restore it. However, timing is critical. Continued use of the drive increases the chance that the deleted files will be overwritten and permanently lost.

Installing Windows File Recovery

To use this recovery software, you first need to install it on your system. The tool runs through Command Prompt with administrator access.

Steps to install:

  1. Open the Microsoft Store

  2. Search for Windows File Recovery

  3. Click Install

  4. Open the app as an administrator

After installation, you can begin recovering deleted files by following proper recovery methods.

Understanding Recovery Modes

Windows File Recovery offers different scan modes based on the condition of your drive and how long ago files were deleted.

1. Regular Mode

This mode is best for recently deleted files on NTFS drives. It is faster and suitable for common recovery tasks, such as restoring recently deleted documents.

2. Extensive Mode

Extensive mode performs a deep scan and is useful for older deletions, formatted drives, or damaged storage devices. Although slower, it increases the chance of finding lost files.

Mode selection guide:

  • NTFS + recent deletion → Regular mode

  • NTFS + old deletion or formatted drive → Extensive mode

  • FAT or exFAT drives → Extensive mode

Choosing the right mode improves your recovery success rate.

Using Filters to Find Specific Files

The tool allows you to narrow down results using filters like file type, file name, or folder location. This helps speed up scanning and improves accuracy.

For example, if you are looking for photos, you can scan only image file types. You can also target a specific folder where the files were originally stored, making the search more efficient.

Running the Recovery Scan

Once you choose the scan mode and apply filters, you can start the recovery process. The tool will scan the selected drive and restore any recoverable files.

Always save recovered files to a different drive than the one being scanned. This prevents overwriting other deleted data that may still be recoverable. The recovered files are usually stored in a folder labeled with the recovery date and time.

Best Practices for Successful Recovery

To improve your chances of restoring deleted files:

  • Stop using the affected drive immediately

  • Save recovered files to another storage device

  • Try Extensive mode if Regular mode does not work

  • Review recovered files carefully

  • Identify your file system (NTFS, FAT, exFAT) before scanning

Following these steps can significantly improve your recovery results.

Backup and Data Protection

Although Windows File Recovery is useful, prevention is always better than recovery. Regular backups can protect your data from permanent loss. You can use:

  • File History

  • OneDrive backup

  • External hard drives

With regular backups, you won’t need to rely on recovery tools as often.

Conclusion

Losing important files can be alarming, but Windows File Recovery provides a reliable and free way to retrieve deleted data. By understanding how the tool works, selecting the correct recovery mode, and following proper recovery steps, you can greatly improve your chances of success.

Whether you need to recover documents, photos, or videos, this free Windows tool is a powerful solution. Learning how to use it effectively is an essential skill for anyone who works with digital files.
